The Electronic Legal Auditing System (ELAS) designed by Alan Gray, Inc. is an automated online system created specifically for the review of legal invoices. This dynamic web-based application, developed to accommodate LEDES formatted invoices, systemically reviews legal bills for adherence to pre-defined guidelines and rules. |
Workflow and Process:

Copies of legal invoices generated by attorneys and/or law firms are electronically submitted in a LEDES format and uploaded to the secure ELAS system. Expense receipts can be included (PDF).

Automated Screening: All invoices are screened automatically by ELAS.

- Defined keywords are flagged, unapproved rates adjusted, and final fees and expenses are added to the budget figures. The system reviews and analyzes all legal invoices for invoicing errors, improper charges and other charge deviations.
- Patterns of excessive expenditures and/or invoicing discrepancies are identified.
|
Human Evaluation: After the initial electronic review is completed in ELAS, all invoices are then further reviewed by Alan Gray, Inc.'s team of attorneys through a peer review process.

- Once run through ELAS, all invoices are saved in an Open Inventory queue. A legal auditor assigned to the project selects the appropriate invoice and begins an itemized review.
- The legal auditor reviews the unapproved rates for any exceptions in the current matter and adds an exclusion code tag to deduct time from flagged line items when appropriate.
- The invoice is saved to a Review queue and assigned to a second peer review.
- After the second peer review, the audit is complete and details can be reported via the Invoice Reports function.
- Progress in a matter or project can be tracked individually or collectively with the Project Level report.
- Final invoices, project and budget reports can be exported to PDF or Excel for the client's review/discussion.
